Rental terms
How a rental runs from the booking call to the unit coming back. Written plainly, because a coordinator reading this at eleven at night should not need a lawyer.

1. Who these terms are between
These terms apply to vehicle rentals supplied by Cinecraft Services Inc, a California corporation trading as Cinecraft Studio Transpo, of 9440 Haskell Avenue, Los Angeles, CA 91343, operating under USDOT 2957955 and MC 1718678 (“Cinecraft”, “we”, “us”). They apply to the production company, rental company or individual renting a unit (“you”, “the production”).
Where a signed rental agreement, purchase order or production services contract says something different from this page, that document governs. This page describes our standard practice.
2. Booking and confirmation
A booking is a request until we confirm it. We confirm availability against the specific unit and your specific dates, normally on the call. A booking becomes firm when the rental agreement is signed and any deposit is received confirm.
We will not confirm a unit we do not have. If your dates are not available, you will be told on the first call rather than left waiting.
Rates are quoted per unit and per production. Daily rates, weekly rates and any minimum rental period are given at the time of booking confirm. Quotes are valid for confirm unless stated otherwise in writing.
3. Insurance before release
No unit leaves the yard without a valid certificate of insurance naming Cinecraft Services Inc as additional insured and loss payee for the full rental period, including travel days. Requirements are set out in full on the insurance page.
If the COI arrives late, the unit is released late. This is not negotiable on the day.
4. Delivery, pickup and collection
Delivery within Los Angeles County is available on every unit. The delivery fee depends on distance and time of day confirm. Locations outside Los Angeles County are quoted case by case confirm.
You may collect from the yard at 9440 Haskell Avenue during office hours, Monday to Friday, 9 a.m. to 5 p.m., or at another time arranged in advance.
Delivery windows are set around your call time. If the location is not accessible when we arrive — blocked, gated, no one there to receive the unit — a waiting charge may apply confirm. Tell us the access details at booking and this does not happen.
5. Condition on release and return
Every unit leaves the yard cleaned, fueled and checked. Condition is recorded at release and again on return. You are responsible for the unit from the moment it is released to you or delivered to your location until it is collected or returned.
Units should come back in the condition they left in, allowing for ordinary use. Cleaning beyond ordinary use — paint, adhesive, construction debris, spills in a passenger van, waste left in a restroom trailer — is charged at cost confirm.
6. Fuel
Units go out with a full tank and come back with a full tank. If a unit returns short, we refuel it and bill the fuel at cost plus a service charge confirm.
Restroom trailers are delivered with fresh water filled and waste tanks empty. Servicing during a rental is arranged at booking and charged separately where it applies confirm.
7. Use of the unit
Units are rented for production use in connection with the production named on the rental agreement. You agree that units will be:
- driven only by licensed drivers holding the correct class of licence for that unit, listed on your insurance;
- operated within their rated payload, towing and seating capacity;
- used lawfully, and not for the transport of hazardous materials, or for any purpose that would void your insurance;
- kept within the geographic area agreed at booking, and not sub-rented, loaned or transferred to another production without our written agreement.
Smoking is not permitted in any unit. Charges for smoke remediation are at cost confirm.
8. Breakdown and mechanical problems
If something goes wrong with a unit during your rental, call the number on this site. It is a cell phone and it stays on for the length of the rental. We would rather hear about it at two in the morning than at wrap.
We are responsible for mechanical failure arising from the condition of the unit. You are responsible for damage, misuse, running the unit out of fuel, and losses arising from your operation of it.
9. Damage, loss and theft
Damage is assessed on return against the condition recorded at release. Repairs are charged at cost, plus loss of use for the period the unit is out of service confirm. Where damage is covered by your production’s insurance, we claim against that policy; you remain responsible for any excess or deductible confirm.
Theft or total loss of a unit is claimed against your policy as loss payee. Report it to the police and to us immediately.
10. Extensions and late return
Schedules move. Call as early as you can and we will extend the rental if the unit is free. If it is booked to another production after you, we will tell you so you can plan around it rather than assuming.
A unit kept beyond the agreed return without an agreed extension is charged at the applicable rate for the additional period confirm, plus any costs caused to a following booking.
11. Cancellation
Productions cancel. We know. Tell us as soon as you know, because a unit released early can go to someone else.
Cancellation charges depend on how much notice we get and whether the unit was held off the market for you. The applicable notice periods and charges are set out in your rental agreement confirm. Deposits may be non-refundable within the cancellation window confirm.
12. Payment
Payment terms are agreed at booking and stated on the rental agreement or invoice confirm. Accounts not settled within the agreed period may be subject to interest at the rate permitted by California law confirm.
13. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, or for fraud, or for anything else that cannot lawfully be limited.
Subject to that, our liability arising from a rental is limited to the charges paid for that rental confirm. We are not liable for indirect or consequential loss, including lost shooting days, overtime, reshoots or production delay confirm.
14. Governing law
These terms are governed by the laws of the State of California, and the courts of Los Angeles County have jurisdiction confirm.
